Partner Q&A: Getting to know Shiftbase

DayoneHR has recently been working with our partners at Shiftbase, the employee scheduling and time tracking software used by internationally recognized businesses such as Marriott Hotels and Superdry premium clothing. Their user-friendly and customizable software is ideal for organizations across a wide range of sectors, including production, hospitality, retail, healthcare and more.

Based out of their HQ in the Netherlands, Shiftbase has over 3,400 satisfied customers worldwide and their software is offered in 8 languages. Recently, we caught up with their new Marketing Manager, Eveline Jacobse, to get to know Shiftbase a little better.

1. Please can you tell us about you and a bit more about Shiftbase?

I am Eveline Jacobse, the marketing manager at Shiftbase. I haven't been working here very long, but I can already tell you that I'm having a great time thanks to my amazing and friendly colleagues that I work closely with. I work a lot with my designer Justin and the product and sales managers, but also with our customers and marketing partners. It’s very interesting to work with so many different people and to be able to learn from everyone.

Every day is different here and every day we face new challenges. That's what makes working at Shiftbase so interesting. Especially for me, it is crucial that I empathize with the customer very well about what is most important for our potential clients. That's why I work closely with our sales department.

We have 8 developers who are working every day to further develop Shiftbase. When we develop new features, they are immediately available to all of our customers. 

Besides work, I am a proud mother of my two children Myla and Noah, great lover of sushi and always in for a party with friends and family! I love working on interiors and painting the walls of my living room a different color twice a year. I love to travel all over the world, and now after 2 children I have some catching up to do!

2. What kind of challenges have you seen companies face with employee scheduling and time-sheet management?

Many companies still track their working hours in a spreadsheet; a time-consuming task that’s prone to errors and with which you can never have all the data you need in one report.

5. Are you able to share a Shiftbase success story with us?

In February 2020, the Netherlands detected its first case of coronavirus. In the early days of the pandemic, the GGD (the Municipal Health Services of the Netherlands) set up a test-lane in the south of the country for people to be tested for COVID-19. But very quickly, more GGD test-lanes had to be added.

In the beginning, GGD used a well-constructed Excel file for planning and scheduling the coronavirus testing workforce in the region. In the initial phase with one test-lane, they were able to work well with the Excel file. But the sharp increase in coronavirus testing activities meant that many more people had to be hired to cope with demand, and therefore workforce planning in Excel became too laborious and error-prone. Essentially, the puzzle became too complex. The GGD wanted to make their workforce management much more streamlined, removing the necessity to manually edit various tabs in Excel.

After researching what other GGD regions were doing, and with the help of an external agency, they found a suitable system for their staff scheduling, time registration and leave: Shiftbase! Within a month of the decision, the software was fully installed and in use for 2,000 employees. Ramona Christiaan of GGD said that the benefits of the software were paying off very quickly, even amidst the hectic, changeable and unprecedented times of a global pandemic.
