5 Tips For A Successful HR System Implementation

The basis of your HR tech stack is an HRIS; which stands for Human Resources Information System. An HRIS tool is essential for companies to streamline and standardize their HR processes. In this blog, we are going to go through how to get your HRIS implementation off to the right start.

1. Setting up the right team

As with any work project, getting the right team for an HRIS implementation is key. The team needs to be diverse so that it has members from functions of the company who will be key players in the use and implementation of the HRIS. This team should include HR people (obviously!), with representation from Finance, Operations and IT. If possible, managers and someone from the senior management team should be included. Your diverse team will assure that the HRIS platform is being used in the most efficient way possible across the organisation. Identifying who needs to be included in your team and actively involving them in the project will yield great results.

2. Detailed Project Plan

Implementing an HRIS in many ways is similar to running a change project. There are so many pieces moving at the same time, that a proper project plan is required. The objectives should be clearly explained along with the tasks assigned to them and deadlines for those tasks. The plan will help the team to keep each other accountable for each task and keep the project on track. In addition to this, a detailed risk assessment should be conducted in order to mitigate any risks before they even appear. 3. Collaboration & Communication

As mentioned in the first point, having the right team is very crucial for the successful implementation of your HR System. Similarly, the collaboration and communication between the team members is super important for the implementation to go smoothly. This collaboration is beneficial for ensuring that objectives are met. The implementation team should all be on the same boat and communicate regular updates, feedback and suggestions for improvements to one another. As mentioned before, the HR platform is not only for the HR team, but for all the whole organization. When the team collaborates together the system will produce far higher engagement overall.

4. Data Accuracy

Regardless of how wonderful the system or platform is, if the data in the platform is not accurate and dependable, then it not only decreases trust in the system but also demotivates people from using the platform going forward. Therefore, the data piece is crucial to make your implementation successful. As part of your prep work, verify the old data by conducting sample and random tests to make sure whatever data is fed into the system is as up-to-date and accurate as possible. At times, legacy and missing data can be a hassle to find and verify. In that case, communicate openly to the team that their help is required to make sure that the data is accurate and ask them to send feedback on any missing data points so the implementation can be developed on time.

5. Testing Applications

Your new HR Tech platform will have many applications and tools that it interacts with. Thus, making sure that each application interacts as it is supposed to is crucial. In order to do that, system testing is very important. This involves testing the platform as an admin and a regular user, assuring that key processes and tasks work properly to determine user acceptance of the new system. The implementation team needs to create a temporary QA team to check the system from every nook and corner before go-live to best prevent any hiccups occurring once the HR system is rolled out.
